Doctor Management System (DRMS): Addressing Key Challenges in Hospital Operations

Simplified Doctor License Tracking

With the increasing complexity of managing numerous doctor profiles, tracking license expiration dates becomes overwhelming for administrators. DRMS streamlines this process by allowing administrators or department secretaries to easily access and manage lists of doctors with expiring or expired licenses. This feature ensures that all medical personnel are compliant and licensed, reducing administrative stress and increasing operational efficiency.

Accurate Tracking of Doctor Movements

Frequent movements of doctors, whether within the hospital or between external facilities, challenge data officers tasked with maintaining up-to-date records. DRMS addresses this by providing a robust time/scheduling system where data entry officers simply input the start and end dates of movements. The system automatically updates the doctor's current and historical departmental affiliations, ensuring the accuracy of nominal rolls and active doctor listings.

Centralized Information Management

The fragmentation of data across various departmental systems often leads to inconsistencies and inaccuracies in the information stored. DRMS resolves this issue through sophisticated access-control lists that allow administrators to designate who can view or edit specific pages, sections, or fields. For instance:

  • The Training Department can exclusively manage the training information.
  • The IT Department might solely control updates to login IDs.

Furthermore, special permissions like 'add-only' or 'edit-only' rights can be assigned to different users, facilitating role-appropriate access and contributions to the database.

Enhanced Collaboration and Accuracy

By enabling departments to contribute directly to the system under clearly defined permissions, DRMS promotes a collaborative environment where accurate, reliable data is maintained. This approach not only minimizes errors but also enhances the responsiveness and adaptability of hospital operations to changing requirements.

Empower Your Hospital with DRMS

Choose DRMS to overcome traditional challenges in managing doctor information, ensuring compliance, accuracy, and efficiency. With DRMS, hospitals can maintain a high standard of data integrity and operational excellence, ultimately improving patient care quality.

Following are some problems/challenges/scenarios that DRMS is solving:

  • Doctor License Tracking

With many doctors information to manage, administrator is overwhelmed in tracking the license expiry of each doctor. With DRMS, the administrator or department secretary can easily pull out list of doctors whose license is expiring or already expired.

  • Doctor is having lots of movement, within hospital, or to/from external hospitals.
The data officer who suppose to maintain the latest info, is always having problem keeping up-to-date data, specially on big hospitals.
When it's the time to provide nominal roll (active doctor listings), the data might not be accurate.

To address the problems, DRMS provides following feature:
    • Time/scheduling system. Data Entry Officer just need to enter the starting date and ending date of movement. System will take care of the rests. With this system, we can know which department doctor was working at in the past and also in the future.

  • No centralized information when every department has its own system to populate data. This issue leads to inaccurate information in system.

    To address the problems, DRMS provides following features;
    • Administrators can set access-control-list on pages/sections.
For example; training department can upload information on training section.
    • Administrators can set access-control-list on specific FIELDS.
For example; IT department is in charge of one field Login ID. IT department can update the Login ID only, while the rest of fields remain locked.
    • Administrators can set special permission rights such as add-only, edit-only permission rights.
If user has been given add-only, user can only add new record, or import data.

With easy-to-configure access-control-list, administrators can open-up the system to many departments to contribute the data, and this will lead to accurate information in the system.
